The lawyer is in court, the notary has the parties in the office, and the secretary, if there is one, is working on documents. The phone rings regardless. The call begins with the announcement that an automated assistant is on the line. It does not give legal advice and does not assess the prospects of a case. Who calls a lawyer or a notary, and what they find at the other end of the line
Someone who calls a legal practice usually has a problem weighing on them: an inheritance, a divorce, a summons. Often they do not call a second time if nobody answers. And a call taken by the lawyer between two court hearings means a hurried conversation that leaves nothing in writing.
At notary offices, many calls are practical questions: which documents are needed for a power of attorney or for a succession, when people can come in, whether an appointment is needed. The office answers them every day, breaking off its work on documents to do so.

The assistant does what a well-trained secretary would do. It asks for the name and phone number, then what the matter is about. It politely cuts short a long account: the details are discussed with the lawyer or the notary, not on the phone with a program.
From the answer it picks one of the categories set by the office (for example succession, sale, power of attorney, divorce) and suggests a free slot in the diary. If the situation does not fit anywhere, it takes down the request and leaves it for a person.

There is no such thing as a “purely indicative” answer: someone in a difficult situation will take any sentence spoken in the office’s name as advice. We write the refusal scripts together with the head of the office, word for word.
The assistant does not check for a conflict of interest: the names of the parties go to the lawyer, who decides whether the case can be taken on. And it has the weaknesses of any speech recognition system: it can mishear a name or a date, so it repeats them.
Professional secrecy: where calls are processed and stored
The caller may, in the first few seconds, say things that are covered by confidentiality. That is why we put on paper the path of every call: which services the voice passes through (telephony, speech recognition, language model, speech synthesis), which country each one runs in, what is kept, for how long and who has access.
The options we discuss, to be verified for each service individually: providers that process data in the European Union, with a data processing agreement and without calls being used to train models; keeping the call note, not the audio recording; automatic deletion after the period you decide. Only if the office decides which cost information can be given out and in what form. Otherwise it says the amount depends on the situation; it makes no calculations and gives no estimates.
Is a legal practice allowed to use an automated assistant on the phone?
That is not an answer for us to give. The assistant is designed for secretarial work and presents itself openly as an automated system, but whether the solution is compatible with the rules of the profession is for the head of the office to check, with the bar association or with the Camera Notarilor Publici.
What happens to an urgent call received at night?
The assistant takes the details, flags the request as urgent and sends it on the channel chosen by the office. It cannot judge the seriousness on its own and gives no advice.
